Description
The College of Physicians and Surgeons of New Brunswick (CPSNB) is a medical regulatory authority that, by authority of the Medical Act, 1981, serves and protects the public by regulating the practice of medicine in the province. With over 10 employees and over 2000 licensed physicians, the CPSNB is currently seeking a Bilingual Receptionist to support the CPSNB's mandate.
Reporting to the Chief Administrative Officer, the incumbent will work 37.5 hours per week, Monday through Friday. Flexibility in hours may be required at specific times and may include evenings and weekends.

Key Responsibilities
As the Bilingual Receptionist you will play a crucial role as the first point of contact for CPSNB customers, either in-person or via technology, and will be responsible for ensuring a positive and professional experience.
Below is an outline of key responsibilities:

Answer phone inquiries using a professional and courteous manner and direct phone inquiries to the appropriate staff members

Coordinate responses to incoming general e-mails and faxes

Handle sensitive issues in order to ensure customer satisfaction, while demonstrating empathy and creativity

Develop and nurture strong relationships with the CPSNB team and members

Contribute to the team effort by accomplishing related results as needed

Must be willing to work flexible and extended hours as required

Provide administrative support to the Chief Administrative Officer

Data administration including but not limited to filing, scanning, etc.

Data entry in multiple platforms as required including: SharePoint; College Member Portal, etc.

General support for office operations including: office supplies, maintenance supplies, mail runs, etc.

Physically able to perform assigned duties

Other duties as required
The above job duties are only the basic and prime duties of the job. Related and allied duties will be assigned from time to time as may become necessary to the efficient operation of the CPSNB.
Position Location and Hours of Work
This position is located in Rothesay, New Brunswick. Normal business hours are from 8:30am to 4:30pm. Additional hours can be expected based on operational needs.
Qualifications
Required Education and Experience:

Post-secondary education in office administration or equivalent years of relevant experience will be considered

Minimum of three (3) years' experience in a related position and/or equivalent combination of education, training and experience determined to be acceptable
Knowledge, skills and abilities:

Fluently bilingual (English/French); written and spoken is a must

Strong literacy and numeracy skills and basic accounting experience

Ability to establish and maintain effective working relationships with all stakeholders

Strong organizational skills and ability to multi-task, prioritize, and meet deadlines

Ability to step in and support the team as required

High professional and ethical standards for handling confidential information

Outstanding communication and people skills

Working knowledge of data analysis and performance/operation metrics

Advanced user in using MS Office and quick study when it comes to a variety of business software
