Administrative Assistant
Responsibilities:
- Provide administrative support to the office staff and management team, in particular to assist with the Scheduler, Payroll Specialist and Billings Receivable personel
- Answer and direct phone calls, take messages, and respond to inquiries
- Greet and assist visitors, ensuring a positive and professional experience
- Schedule meetings and maintain calendars for the Director of Operations and Executive Director
- Prepare and distribute correspondence, memos, reports, and other documents both physical and electronic
- Manage office supplies inventory and place orders as needed
- Maintain filing systems, both physical and electronic
- Assist with data entry and record keeping tasks including Medication Admninstration Records and Client Master Records.
- Perform general clerical duties such as photocopying, scanning, and faxing
Requirements:
- Previous experience working in a medical, psycology or psychiatry office is preferred
- Proficiency in using Google Suite (Docs, Sheets, Slides) or similar software and Microsoft Suites (Word, Excel, Powerpoint).
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent verbal and written communication skills
- Attention to detail and accuracy in all work tasks
- Ability to maintain confidentiality of sensitive information
- Strong problem-solving skills and ability to work independently
