Job Description
This position will be responsible for greeting visitors, answering telephone calls and a wide array of administrative related duties.
- Answers and directs telephone calls appropriately
- Greets scheduled visitors and directs to appropriate area or person
- Greets unscheduled visitors to determine purpose of visit
- Signs visitors into the building including contractors.
- Controls Visitor access to the building.
- Forward incoming emails and faxes
- Process outgoing local and overseas couriers
- Forward incoming mail and prepare/send outgoing mail
- Oracle base responsibilities include I-Procurement, I-Expense
- Receives and processes invoices for the building and other departments as required.
- Books conference and board rooms and arranges for lunches if required.
- Maintains Outlook groups for the building.
- Issues Kronos cards for the building.
- Update and distribution of internal phone list
- Organization of local charity sale items to employees
- One of the “First Point of Contact” for Emergency Response Team situations
- Orders and maintains office supplies, cleaning supplies and coffee supplies.
- Ensures office equipment in reception area is working properly and arranges repair work
- Provides mutual back-up support to other administrative staff as required.
- Directs day cleaner with special requests.
- Contacts Vendors to clarify orders or pass on special request.
- Create tracking spreadsheets for invoicing
- Processing of invoices, assigning costs to appropriate departments
- Payment investigation
- Sourcing and creating purchase requisitions, and receiving of goods and services in the system
- May be assigned special or ad hoc projects, periodically.
- Extended hours and shift work may be required from time to time.
- Travel to other SGS locations or client locations may be required from time to time.
Qualifications
Minimum of a High School Diploma or a General Educational Development equivalency (GED).- Post-secondary education in an administrative field is a strong asset.
- Experience: 1 - 3 years of previous working experience in a Receptionist/Administrative related role is required
Required Skills
Must be able to read, understand and follow work instructions in a safe, accurate and timely
manner.
- Candidates must be proficient in using various types of computer software (Word, Excel.
PowerPoint & Outlook).
- Proven ability to manage and coordinate multiple projects in a fast-paced, highly professional environment.
- Candidates must demonstrate excellent verbal and written communication skills including grammar and composition.
- Ability to work well with others & independently.
- Proven time management skills and a strong attention to detail.
- Works well under pressure.
- Ensures full compliance with the company’s Health & Safety, Code of Integrity, and Professional Conduct policies.
- Ability to work well with others, independently and remain at workstation for extended periods of time
